2020 Event Season Planning Series: What Would ORO Do – Trend Research

Spring is in full bloom and summer is quickly approaching! Now we must recognize the changes coming within our industry and while we are planning for the first round of in-person events to take place in the fall, we at ORO believe being prepared is never out-of-season.

We hope you enjoy the first planning topic in our series called, What Would ORO Do!

Trend Research:

We are all eagerly anticipating the return of in-person events, but it is wise to be realistic as to what that means for your events! There are many guidelines that have been put out by the United States Government as to the “Opening Up America Again” initiative. Be sure to educate yourself on these updates, as every location is different and to inform your clients effectively. A few examples that are pertinent to the special events industry include: appropriate social distancing measures and sanitation policies.

Beyond such measures, we also recommend re-familiarizing yourself with the Pantone Color of the Year and the resources they offer. Clients are going to be craving color and excitement and having some ideas already in the works will be quite beneficial! Also, begin thinking about how food and beverage may be different for your event(s). With the new measures, will the venue be able to adequately space out food stations and keep guests at the recommended distance of 6’ apart or is it more appropriate to have a plated meal? Prepackaged, menu-only or grab-n-go meal styles may also work, depending upon your event type.

Lastly, don’t forget about the potential need for additional Audio-Visual equipment, beyond what the venue may already have included in the rental package. Companies will be limiting such events to smaller, domestically located departmental meetings, and weddings may shift into a more intimate and smaller gathering of 50 people or less to adhere to the venue’s new distancing protocols. With that, many clients may benefit from enhanced capabilities such as Multi-Location Live Streaming or Pre-Recorded Video Packages. Be sure to have these conversations with your key AV partner and have those quotes ready for your clients!
